Bevero: Data Migration Basics

Learn about migration timing, what can be edited - and how you can help ensure accuracy of your imported data

We will be conducting two imports and greatly appreciate your help in ensuring the accuracy of your data. To better understand what you can edit during each stage of the transition, please follow the steps outlined below.

1. First Data Migration Components

During the initial week of your onboarding process, we will migrate all the below data components. Please take the time to read and familiarize yourself with the edits that can be made and where they can be made. Live data, such as orders, customers, club memberships and reservations will be reimported during the final data migration (more information below).

We will notify you during the first week  once your migration has been fully completed, if any data errors have occurred we will provide you with an email containing instructions on how to correct them. You will have until the final data migration date to make any necessary corrections.

If you notice discrepancies in any data please let your onboarding specialist know. 

Important: When it comes to LIVE DATADo not make any edits in Commerce7.  Instead, make all necessary edits in Bevero. This data will be refreshed during the final data migration. If you make any edits in C7, they will be overridden with Bevero data.

Live data that will be migrated

Do not make edits to these live data components in Commerce7. You can make these edits in Bevero up until the date of your second (final) data migration.

  • Customers: Feel free to make edits within Bevero. You can make these edits in Bevero up until the date of your second (final) data migration.
    • Addresses (Billing/Shipping)
    • Credit Card
    • Notes
  • Club Memberships: Feel free to make edits within Bevero. You can make these edits in Bevero up until the date of your second (final) data migration.  
    • Addresses (Billing/Shipping)
    • Credit Card 
    • Notes 
  • Orders/Order History: Feel free to make edits within Bevero. You can make these edits in Bevero up until the date of your second (final) data migration. 
  • Reservations/Events: Do NOT edit or remove existing Reservation Locations in Commerce7 before your final data migration. You can add additional locations without issue.
    • We will be using two Experience types that are only for the migration - "Ticketed" and "RSVP" to mirror the types within Bevero.
      • Please do not use these Experiences once you go live. You will need to set up new Experiences going forward. Please review this documentation on setting up Reservation Experiences within Commerce7. 

Other Data (non Live Data) that will be migrated

This data will not be re-imported during the final migration. That means that you can edit these data components directly within Commerce7.

  • Clubs 
    • Feel free to edit existing clubs in C7 (add content, photo and more). But DO NOT change Club Titles. Can you create a new Club level in C7? Yes, but note that if you do that, you will have to manually transfer all your memberships from your current club to your new club after the final migration.
  • Products 
    • Feel free to edit existing Products in C7 (add content, photo and more). There are no restrictions about what you can edit.
    • "By the Glass" products set up within the main product are not being migrated over. They will need to be recreated as a new product. Please see existing Commerce7 documentation here for more information on this. 
    • Bundles are not being migrated over as they are configured differently between the two systems. Please view the documentation here on how to set these up within Commerce7. 
  •  Collections
    • Review migrated categories from Bevero and add more Collections for POS, website or discounting. 


2. Second (Final) data migration components

We will migrate your live data from Bevero to Commerce7 on your launch date (or as close as possible to that date) to ensure that you have the most up-to-date information for your launch. If we have previously communicated any data errors to you and you have made corrections in Bevero, those corrections will be updated. Note that after the final data migration, you will have the ability to make edits to all of your data in Commerce7.

Important Note:  Please export as much data as possible from Bevero for your own records. The Bevero platform will not be accessible pass January 31st 2024.

    • Addresses (Billing/Shipping)

3. Best practices for reviewing migrated data

Below are the items that you need to review. If anything is missing or not matching, please let your Onboarding Specialist know right away.

Products

Your Products will be imported only one time please make necessary edits in Commerce7.

Check the following:

  • Pricing: Confirm that it matches what is in Bevero.
  • Teasers/Descriptions: Confirm that they match what is in Bevero.
  • Weight for each Product: (if your shipping rates were not weight-based in Bevero, you will need to enter them. If you do not, then shipping rates will not be calculated).
  • Product Type:Confirm that they match in Bevero.
  • Web/Admin/POS/Club Status: Define where the Product should be available for purchase. (Web > Available, Not Available or Retired | Admin/POS/Club > Available or Not Available)
  • Photo: Insert product photo

Customers

Do not edit CRM records in Commerce7 before your final data migration. Make edits in Bevero only.

Check the following:

  • Number of Customers: Check the overall number of Customers to confirm that they all made it over.
    • To check this, go to the CRM tab and use the More Filters dropdown.
  • Spot-check: Choose a few Customers that you know well and go have a look at their Customer Profiles. Look at Name, Address, Phone Number, Orders, Club Membership (if applicable) and any Customer Notes. Does everything look correct?

Orders

Do not edit Orders records in Commerce7 before your final data migration. Make edits in Bevero only.

Check the following:

  • Compare the number of Orders: Compare the number of Orders in Bevero to the number of Orders in C7.
  • Spot-check: Choose a few Customers that you know well and go have a look at their Orders. Does everything look correct? Check Items, Amounts, Payments, Order Notes.

Clubs and Memberships

Do not edit Club Memberships or do not change the Club Level title (note that data can be added to Clubs) in Commerce7 before your final data migration. Make edits in Bevero only.

Check the following:

  • Review Club Levels: Check the Clubs in both Bevero and C7 to compare. Confirm that all Club levels in Bevero exist in C7. 
  • Review Memberships: Confirm that the count of Memberships in Bevero matches what you see in C7.
  • Spot-check: Choose a few Club Members that you know well and go have a look at their Club Profiles. Does everything look correct? Check Shipping/Pickup preference, Club Notes, Address information.
  • Most recently declined club orders: A flag will be imported for each member whose most recent Bevero club shipment declined. Unpaid orders and invoices are not imported to Commerce7, but this will allow you to easily recreate declined club orders and process in Commerce7. A file with full order details will be provided after final data migration.

Reservations

  • Review migrated Reservation information.
  • We will be using two Experience types that are only for the migration - "Ticketed" and "RSVP" to mirror the types within Bevero.
    • Do not edit or remove existing Reservation Locations in Commerce7 before your final data migration. You can add additional locations without issue.
