Quick Fulfillment Overview

The Basics

  • When an Order is first processed it will have a Status of Not Fulfilled (regardless of whether it's a Pickup or Shipping Order).
  • Once the Order has been Picked Up or Shipped (and it's marked as such), then it will have a Status of Fulfilled.
  • Pickup Orders are always fulfilled manually - meaning that it requires action by a staffmember to mark it as Picked Up/Fulfilled. The one exception to this are Carryout POS Orders, which are fulfilled automatically.
  • Shipping Orders can be fulfilled manually or automatically. This article will detail those options.
  • Non-Shipping Orders (examples: Orders that contain only Virtual Gift Cards or Event Tickets) will be marked as fulfilled automatically.
  • Can you Remove Fulfillment if it was erroneously applied? Yes. In the Order, click on the Fulfillment tab, and you'll see a Remove link.

In-house Fulfillment Using Integrated Apps

If you fulfill in-house, we have three 3rd Party Apps available to you. You can install any of these from the Dashboard > Apps & Extensions link in Commerce7.

What does the flow look like when using one of these Apps?

  1. You will print your shipping labels on the 3rd party app.
  2. Generating these labels will create a tracking number for your packages.
  3. You will pack and ship out the packages accordingly.
  4. Once Ship Date/Tracking Number is available, Orders will automatically be marked as Fulfilled in Commerce7.
  5. Shipping Confirmation email (including Tracking Number) will automatically be sent to the Customer.
  6. Can you Remove Fulfillment if it was erroneously applied?

    Yes. In the Order, click on the Fulfillment tab, and you'll see a Remove link.


Will tracking numbers automatically populate in the Orders in Commerce7?

Yes. When the package has been scanned by the carrier and is in transit, the tracking number will populate in the Order in Commerce7. Note: This scan is sometimes done by the delivery driver or at the first shipping hub.

When is the Order marked as 'Fulfilled' in Commerce7?

When the Ship Date and Tracking Number are available, Commerce7 will automatically mark the order as Fulfilled and the information will be under the fulfillment tab on the order.

Will the Customer be notified when their Order has Shipped and will they receive the Tracking Number?
Yes. The Tracking Number will be included in the Order Confirmation Ship transaction email to the Customer. This email is triggered automatically when the Ship Date and Tracking Number are available.

Can you Remove Fulfillment if it was erroneously applied?

Yes. In the Order, click on the Fulfillment tab, and you'll see a Remove link.



Direct Integrations - Fulfillment with a Shipping Partner and/or ShipCompliant

Do you directly integrate with your Fulfillment Partner or pass your Orders to your Fulfillment Partner through ShipCompliant? If so, then this section is for you:

When are Orders sent to ShipCompliant from Commerce7?

Shipping orders processed in Commerce7 will be sent to the Fulfillment Partner as soon as it passes ShipCompliant's compliance check. Your Fulfillment Partner will pack and ship the orders accordingly. 

Can I Set it up so that Orders are NOT automatically sent to Fulfillment?

Yes. You can define this during setup when installing the extension. If you choose to send Orders over to SC as 'Payment Accepted', then they will be held in SC until you manually sent them to fulfillment. 

Will tracking numbers automatically populate in the Orders in Commerce7?

Yes. As the orders are shipped, your Fulfillment Partner will upload the Tracking Numbers to ShipCompliant. 

How often are tracking numbers updates in Commerce7?

Our system checks ShipCompliant for newly uploaded Tracking Numbers and syncs them into Commerce7 every 4 hours. So, if your Fulfillment Partner is uploading the Tracking Numbers to ShipCompliant, these Tracking Numbers should flow into Commerce7 automatically. 

When is the Order marked as 'Fulfilled' in Commerce7?

When a Tracking Number is added to an Order, it is marked Fulfilled and the information will be under the Fulfillment tab on the Order.

Will the Customer be notified when the Order has shipped and will it include the Tracking Number?

Yes. The Tracking Number will be included in the Order Confirmation Ship transaction email to the Customer. This email is triggered automatically if you're using the ShipCompliant integration with your Fulfillment Partner.

3rd-Party Integrations

These fulfillment integrations are managed by trusted 3rd Parties. Contact them directly to learn more about them.

  • FORT Systems - FORT is a customized solution, so it requires contacting FORT for installation/configuration. Learn more about the FORT integration here

Exporting Orders to provide to your Fulfillment House

Exporting Orders to a Spreadsheet

If you do not use ShipCompliant and need to email your Orders directly to your Fulfillment House, here are your options:

  • Commerce7 Order Export - Depending on the specific info that your Fulfillment House needs, the main Order Export should provide it (or you can pare it down to just the essential information that they require).
  • Australia Post - Export Orders in the Australia Post eParcel CSV Format. Learn more here.
  • Custom Reports App by Treefrog Digital - If your Fulfillment Partner requires a specific form (examples are the 205 or the 202), then the Custom Reports App is the way to go. Learn more here.
