How to Use Commerce7 Gift Cards?

This article covers creating, redeeming and managing gift cards.

A gift card is a special type of product and in Commerce7 you can create a virtual and physical gift card. 

Gift Cards can be only sold and redeemed via the Web and POS.

How to Create a Virtual Gift Card

Virtual gift cards is the most common way to sell gift cards online. When a customer purchases a Virtual gift card, Commerce7 will send an auto-generated 16 digit gift card code to the customer's email address. The recipient can then use the gift card by copy/pasting the code to the gift card field in the checkout process.

Start by creating a gift card product.

Go to Store > Products > Add Product > Select Gift Card.


You will have to complete all the associated fields in the product setup. Most of these fields such as Title, Content, SKU etc. are the same no matter what type of product you are setting up. If you haven't reviewed this yet, Here is a link to our general product documentation.

When setting up a Gift Card, you will have an additional drop-down under the content area to specify the Gift Card type. When setting up a Virtual Gift Card, select Virtual.

We recommend creating one virtual gift card product and setting up the values offered, as product variants. For example, Gift Card would be the product title and the product variants would be $10.00 Gift card, $20.00 Gift card etc.

When creating Virtual Gift Cards remember to uncheck "Shippable Product" in the Product page. For more information about this toggle means, read What Does Shippable Product Mean?

Customers purchasing a virtual gift card on your website will have the option to include a gift message that will be included in the email to the recipient. 

Here is an example email your gift card recipient will get when a gift card is purchased from the POS or website. The Gift Card email will include who the gift card is from and the optional gift message.

How to Create a Physical Gift Card 

Physical gift cards can be sold at the tasting room. You will need to work with a gift card vendor to create and encode plastic gift cards. Each physical gift card must have a unique code.

Note: You cannot sell physical gift cards online or as an Inbound Order. Processing a Physical Gift Card order through the Inbound Channel will NOT allow you to add a custom code. This must be done through the POS at this time.


Start by creating a gift card product.

Go to Store > Products > Add Product > Select Gift Card.

Note: You have to make the Web Status 'Not Available' because physical gift cards can't be sold online (or as an Inbound order).

Manually Issuing Virtual or Physical Gift Cards from the Admin Panel Without Processing an Order.

Issuing a virtual or physical gift card from the admin panel does NOT automatically email the customer with the gift card code. 


This is ideal if you are migrating systems and need to add in old Gift Cards from your old system.

To create a gift card without processing an order, navigate to Store > Gift Cards > Add Gift Card

You will need to complete the fields in order to issue the Gift Card. See below for a list of the fields and their definitions.

Field Definition
Register to Customer This is optional. You can register a gift card to a customer and only that customer can redeem the gift card. If no customer is selected, anyone can use the gift card code.
Title Title of the gift card
Code Enter the code that you want to use. Leave blank if you want the system to auto generate the code.
Type Virtual or Physical gift cards
Status Status of gift card, can be set to Active or Inactive
Initial Amount Starting balance of the gift card
Expiry Date Expiry date for the gift card. This is optional. If no expiry date is selected, the gift card will be never expire.
Notes Free form text field for notes related to this gift card

 

Selling Physical or Virtual Gift Cards on the POS


Selling a Physical Gift Card on the POS:

Start a cart for your customer (either a guest or an existing customer).

Search and select your Gift Card product to add it to the cart.

When you add a Physical gift card product to your POS Cart, you should be able to choose from the Gift Card values you have created (assuming you set up your Gift Card variants when you setup your Physical Gift Card).

The Gift Card Code field requires the sales associate to have the physical gift card so they can manually enter the code or use the bar code scanner. This step registers the gift card code in Commerce7.

Note: You cannot sell physical gift cards as an Inbound Order. Processing a Physical Gift Card order through the Inbound Channel will NOT allow you to add a custom code. This must be done through the POS at this time.


Selling a Virtual Gift Card on the POS:

Start a cart for your customer (either a guest or an existing customer).

Search and select your Gift Card product to add it to the cart.

When you add a Virtual gift card product to your POS Cart, you should be able to choose from the Gift Card values you have created (assuming you set up your Gift Card variants when you setup your Virtual Gift Card).

Enter the recipients email address and optional gift message from the gifter which will be included in the email to the recipient.

Redeeming a Gift Card on a Customer Order

Virtual and Physical gift cards can be redeemed on the website and POS by entering the gift card code during the checkout process.

Note: You can use gift cards as a payment method for Website and POS orders only.

Redeeming a GC on a Website Order:

At checkout, your customer can enter the gift card code in the coupon field at checkout. 

Redeeming a GC on the POS:

On the POS, you will select Process Payment > then select Gift Card as one of the payment options > then enter the Gift Card Code and enter the amount tendered and select Use Gift Card. 

Creating and Encoding Physical Gift Cards with Vendors

There are many companies you can purchase physical gift cards from. There are two requirements for physical gift card to work with the system; 

  • Gift Cards must be serialized with all unique codes.
  • The code must have a minimum of 10 characters.
  • The code can have a maximum of 256 characters.

Managing Gift Cards

You can manage current Gift Cards going to Store > Gift Cards.  Here, you will see a list of all gift cards that have been created. You can also Add a Gift Card here.

When you click into a gift card, you will see a Main section with all the gift card information i.e. number, code, balance and below will be a list of Transactions.

Purchased On Order Number The order number this gift card was purchased 
Emailed To The email address this gift card was sent to
Current Balance Up to date balance of this gift card
Transactions This section will list all transactions made on this gift card, including the initial creation and any depletion to the gift card balance.

 

Exporting Gift Cards

Gift Cards can be exported by clicking on Export in the Gift Card section. Once generated, the exported gift cards will be emailed to you with the results.

 

 

Gift Card FAQ's

Can you pay for a club membership with a gift card? 

A club membership can be set to use an available gift card balance that is assigned to that specific customer/club member.

Can you redeem a gift card on a inbound order? 

Currently you can't redeem a gift card on an inbound order, this feature will be added in the future.

Are Gift Cards Re-loadable? 

Physical Gift Cards are currently not re-loadable.

Can you pay for a gift card with a gift card? 

No, you can't use a gift card to pay for another gift card. 

Can you discount Gift Cards?

Yes, gift cards are like other products in Commerce7 and can be listed in a Collection or list individually when setting up your promotions and coupons. 

Can you assign a customer after creating the gift card? 

You can assign and unassigned gift card to a customer at anytime. Navigate to Store > Gift Cards > select the gift card and then select Edit Gift Card, then search the customers name and re-save the gift card. 

Can you transfer gift cards to other customers?

You can't transfer gift cards between customers. A customer can use their gift card code on any order.

Can customers check their balance from our website? 

Currently you can't check a gift card balance on a customer account, this feature will be added in the future. 

Can you edit a gift card code?

You can't edit a gift card code at this time. If you entered an incorrect code when selling a physical gift card, we would recommend refunding the order and reprocessing a new order with the correct code.

Can gift cards be part of a product bundle?

Gift cards will not function when part of a product bundle.  

Can I create my own code when manually creating a gift card?

Yes, when creating the gift card in the gift card section, you can enter your own code or leave blank for the system to auto generate the code.
